WORLDOX® GX is an
enterprise-capable document management system from World Software
Corporation.
WORLDOX GX features
tight integration with the latest Windows operating systems, Office
productivity suites, e-mail applications, and Active Directory – along
with a wide array of productivity programs and networking systems
(including Novell).
WORLDOX lets you
describe electronic documents by filling in profiles as documents are
created or transferred into the system. The profiles are set up within
categories defined and organized based on your particular business
requirements. Thus each site can create its own unique profiling
hierarchy.
The document profiles
determine how documents are stored physically on the company network and
provide a ready means for users to locate specific documents, or to cast
a wider net, searching for documents relevant to particular business
purposes or matters.
WORLDOX also delivers
industrial strength full-text searching, comprehensive document and
e-mail management capabilities, and productivity-enhancing collaboration
features. It is this unique combination of profile searching and
full-text searching, in combination with a full palette of document
management services (such as document check-in and check-out, version
control, work lists, integrated file viewing, file activity auditing,
reporting, file-level security, and more) that puts WORLDOX in a class
by itself.

File Level Security
and Active Directory Integration
Security groups and
file-level access controls set in WORLDOX GX synchronize with Windows
Active Directory seamlessly and transparently. Synchronizing security
with Windows means that users denied access to a file in WORLDOX are
also prevented from using Windows Explorer or other means to circumvent
WORLDOX security. WORLDOX achieves maximum security without the need for
complex, expensive, multi-tiered architectures by providing file level
protection to safely secure documents at the operating system level.

E-Mail Profiling
WORLDOX GX provides
several new methods to profile and manage e-mail messages and
attachments.
Profiling E-Mail By Drag-and-Drop Folders
WORLDOX GX introduces folder-based drag-and-drop e-mail profiling. As
you create Quick Profiles for e-mail, WORLDOX automatically generates
corresponding folders in Microsoft Outlook. Simply dragging one or more
e-mail messages from your inbox to the WORLDOX folder fully profiles the
messages and moves them to WORLDOX control.

WORLDOX GX e-mail
profiling remembers the last Profile saved for each e-mail address,
based on its context, or location within the message header (From, To,
CC, BCC). The next time you profile a message, WORLDOX checks the saved
profiling information, and chooses the previously entered profile
information.

Messages
When you send an e-mail
message, WORLDOX GX offers you the option to profile the outgoing
message. This allows you to combine your outgoing e-mail messages within
the overall WORLDOX document repository.

Header Information
More e-mail header
fields (metadata) are now automatically captured when profiling e-mail
messages, including From, To, CC, BCC. The same information can be
included in search forms. WORLDOX GX captures the following e-mail
header information:
Lotus Notes Support
WORLDOX GX extends its
highly acclaimed e-mail management features and capabilities to Lotus
Notes (version 6 and higher). Notes users have direct access to the
messages in their inbox without having to leave WORLDOX.
Upgraded Version
Control System
The version control
system in WORLDOX GX has been significantly upgraded and expanded. In
addition to being able to create up to 256 versions of a document, each
version has its own complete profile.
You can now create new
versions of a file directly from the WORLDOX File menu as well as while
saving documents. And files sent out and returned via e-mail as an
attachment may now be re-saved as a version of the originating file.
The WORLDOX version
list window has been superceded by the Versions worklist. WORLDOX GX
lists versions directly in the File List to provide better access to
previous versions. Another benefit of this is that you can set a WORLDOX
GX window Style for version lists.
Bookmark System
Bookmarks in WORLDOX GX
provide a whole new way to save and work with your files. You can
quickly and easily save lists of files generated from searches, or
folders, or your favorites as Bookmarks. Place Bookmarks on the Bookmark
toolbar or in the Bookmarks menu, for immediate access. Once saved, you
can choose any Bookmark to dynamically re-generate the file list.
Note: Bookmarks replace
the system of Speed Buttons in WORLDOX 2002.

Document Tabs
Document tabs, at the
bottom of the WORLDOX window, provide instant access to document
comments, profile, content, and relations. Click a tab to display its
contents or to edit comments and profile information directly in the
tabs.
Updated Toolbar
Buttons and List Colors
You've probably noticed
that WORLDOX GX is the best looking WORLDOX ever. The icons used for
toolbar and command buttons throughout WORLDOX have been updated. In
addition to lending the program a more up-to-date appearance, the new
buttons are used in menus, dialogs, program windows, and elsewhere
throughout the program to make it easier to identify commands and
features.
Customizable toolbar
color gradients and color options for lists (such as file lists, field
tables, and version lists) give you more control than ever over the way
that WORLDOX looks.
Dialog Appearance
and Enhancements
Dialogs and windows in
WORLDOX have been streamlined, visually enhanced, and made generally
more informative. For example, the Search Templates window offers a
series of tabs to help organize your list of templates.
The new review list
feature in WORLDOX dialogs lets you review the files you have selected
before a command has acted upon them.
Review lists also
appear in confirmation dialogs that appear after a command has
completed, so you can view which files have been acted upon by the most
recent command or action.
Worklist
Improvements
Worklist tabs in
WORLDOX GX are now persistent. Previously, worklist tabs were temporary,
such that each time WORLDOX was closed then reopened, all but the main
tab would close. In WORLDOX GX, once you open a tab, it will remain
available until you close it or until you exit and log off WORLDOX.

Worklist navigation has
been dramatically improved, as well, with Browser style Back and Forward
buttons. Use the buttons to navigate between file lists displayed in a
worklist tab. Each worklist tab includes its own set of Back and Forward
buttons.
The Location button
displays a history of the most recent file lists viewed in WORLDOX. You
can click the Location button and choose any list in the menu to
navigate to that list.

Updated WORLDOX
Viewers
The file viewers in
WORLDOX GX have been updated to include support for the latest versions
of Microsoft Office, Project, and Visio. A number of enhancements were
made to the PDF viewer, for improved fidelity, performance, and text
extraction accuracy.
WORLDOX Window
Styles
WORLDOX Window Styles
are a new feature that lets you save several window layout elements for
a variety of WORLDOX list types. So, for example, if you like having the
new search Rating column displayed when viewing search results, you can
set the display just as you want, and then save the Style settings for
Search Results. Then, each time you conduct a search, the results are
displayed using that +style.

Enhanced Column
Headers
You can assign a
particular Column template to one or more Search templates. WORLDOX
displays the assigned column arrangement for any results list based on
the associated Search template. Easier sorting, additional display
fields, and a new template browser round out the column header
enhancements.

Reorganized Menus
WORLDOX GX menus have
been reorganized for improved access to commands. The main menu bar
appears as follows:

The File context
(right-click) menu has been split into two levels. Your most often used
commands show up in the primary level, and other file commands, those
less frequently used, appear in the second level. As you work with
commands, they move to the first level for easier access.
Related Documents
The Relations tab, at
the bottom of the File List, displays the files related to the
highlighted document, providing immediate access to all related files.
You can easily define relations by dragging documents to the Relations
tab. Related document lists can also be displayed in a special Relations
worklist tab, and set as Bookmarks.

Searching
Improvements
Stellar searching
capabilities have always been a WORLDOX hallmark. WORLDOX GX builds on
this strength by streamlining searching, adding more e-mail header
fields, and simplifying the syntax.
Search Templates
Listed in the Search Menu
Search templates are
listed in the Search menu for immediate access from any WORLDOX work
list.

Internet Style
Search Syntax
WORLDOX GX introduces a
simplified syntax for its award-winning full-text searching. The new
syntax is similar to that for text searches performed on common Internet
search engines.
"New List" Navigator
WORLDOX GX provides
more assistance for users opening a new worklist tab, or when no files
match a search or other navigation attempt. The New List window explains
why no files are listed, and offers several common methods to navigate
or search for additional files. You can customize the screen by adding
your own images and wallpaper.

Note: The New List
Navigator replaces the Quick Pick window in previous versions of WORLDOX.
Copy Location to
Clipboard
You can use the new
Copy Location to Clipboard command, in the Edit menu, to copy the full
path of any document to the Windows clipboard.

Color Command
The Color command gives
you control over the appearance of various lists and toolbars throughout
WORLDOX. Using the Color dialog, you can set alternating background
highlights, window background color, and other visual display attributes
which, in combination with more options for setting WORLDOX display
fonts, gives you virtually limitless possibilities for having WORLDOX
appear just as you like.

Quick Profile
Enhancements
The Quick Profile
system has been expanded and improved in WORLDOX GX.
You can create a
folder-based structure to organize Quick Profile templates.
The lower half of the
Quick Profile window shows the contents of the highlighted Quick Profile
template.
Setting defaults is
simply a matter of right-clicking a template and choosing Set as
Default.

New And Improved
Documentation
The WORLDOX "bible,"
the Configuration and Administration Guide has been completely
re-written and expanded as has online Help for WORLDOX.
Simplified Reporting
The WORLDOX Reporting
system has been simplified so that you can produce reports, such as File
Lists, much more quickly and easily. For example, when printing a File
List report, WORLDOX automatically bases its report on the current
worklist tab, including the column headers and sorting.
