Smart Data Entry
Entering your data shouldn’t be complicated or confusing, nor should it
require you to constantly refer to the documentation to determine what data goes
in what field. Asset Keeper’s data entry screen, referred to as the Add / Edit
screen, is specifically designed to make entering your asset data fast and error
free. Using informative messaging, if there is anything you need to be concerned
about while entering your data, Asset Keeper will provide you with information
regarding the data being entered.
There are lookups for all fields that require specific text entry, such as,
the depreciation method, life, and convention fields. These fields only accept
codes that identify the type of depreciation you want calculated. Although the
codes are intuitive, (MA200 is the depreciation code for MACRS 200%, HY is the
convention for half-year), the lookup for these fields provides a complete list
of the codes and a description of what each code represents. There is a special
depreciation life lookup tool that will provide you with a list of asset types
and the depreciation life that should be assigned to them. You’re never left
wondering, “What do I enter here?”
The data entry screen is composed of a multi-tabbed screen that consists of a
General tab and a tab for each method that you are maintaining. The following
screen shot is for a data file that has 2 depreciation methods, Federal and
Book. The General tab is selected.
This screen shot shows the fields on the Federal methods page. All methods
pages have the same fields on them.

Error messages in Asset Keeper are designed to be informative and helpful.
Here is a screen shot of a message displayed when entering an incorrect life for
the depreciation method selected.

The following screen shot shows the lookup screen for the Asset A/C#. Similar
screens are available for looking up the four user-designed Sort Code fields,
Expense A/C#, and Accumulated Depreciation A/C#, and the two user-defined
fields.

You can also add pictures of your assets for easy identification. The
following screen shows the reference to the picture file and a preview of the
picture itself.

An Asset Listing is accessible from the Add / Edit screen that allows you to
quickly locate and select assets for editing. In addition, you can filter the
assets displayed and lock them so that only the assets included in the listing
will be accessible when navigating in the Add / Edit screen. This is very useful
when you just want to view assets that have been disposed or new acquisitions.

The following list contains some of the other features available when adding
or editing your assets.
Two description fields (50 characters each) are provided so you can enter
identifying information for your assets.
An unlimited length memo field can be used to enter notes or maintenance
information about your assets.
Four user-defined sort codes can be used to group assets on reports by
department, location, property type, etc. On-screen prompts can be changed for
these fields.
Two user-defined fields (35 characters each) can be used to enter information
such as VIN’s, warranty numbers, model numbers, vendor purchased from, or any
other asset data that you want to associate with the asset. On-screen prompts
can be changed for these fields.
Four quick select Group checkboxes are provided to identify assets that
belong to specific groups. These are very handy if you want to identify assets
that either belong or don’t belong to a specific group. For example, if you
wanted to print assets that you want to closely review at the end of each year,
you could use one of the Group checkbox for this purpose. On-screen prompts can
be changed for these fields.
A duplicate option will duplicate the information entered for the last asset
entered. This is very convenient when entering similar assets.
There is an option to split an asset into multiple assets (up to 5) of equal
or unequal parts.
A valuation field is provided so you can enter the fair market value of each
asset and print this on the included Asset Valuation Report showing comparisons
of valuation, cost, and net book value.
An alternate value for personal property returns can be entered. This value
can be used, instead of cost, when printing any of the included personal
property reports.
When entering older assets that do not have a beginning accumulated
depreciation amount, Asset Keeper can calculate and save it during the data
entry process.
A transfer field is provided so that you can allocate annual depreciation to
various departments or cost centers on the included Monthly Depreciation
Reports.
You can override annual or monthly depreciation allocations.
You can dispose of the entire asset or just a portion of the asset (partial
disposal).
You can print all the data, including the picture and notes, entered for an
asset from the Add / Edit screen for reference or data entry review.
You can enter auto mileage data that must be printed on the IRS Form 4562.
You can exclude disposed assets from printing on the IRS Form 4797 in those
cases where the information must be provided in a different report format, such
as for some partnerships.
Since asset maintenance is one of the most used and most time-consuming sections
of any fixed asset system, we have spent so much time ensuring that it is fast,
intuitive, and trouble-free.
Comprehensive Calculations
Asset Keeper can handle any and all calculations for income tax reporting and
financial statement preparation. You can calculate depreciation for:
Federal income tax
Alternative minimum tax
Adjusted current earnings
Profit & Loss
State income tax, including state add-back or add-on for bonus depreciation
Custom calculations
You can also calculate annual, monthly, short-year, projected, and pro-rated
depreciation. In addition, there are specially designed reports to accommodate
reporting requirements for these calculations. All the calculation options in
the file are wizard driven, making it easy to understand the options available
and how they will affect your calculations.
You can override any calculation if necessary, and re-calculate as often as
you like since nothing is final until you reset for the next year.
When calculating annual depreciation, Asset Keeper will check for and apply
the mid-quarter convention if it determines that it should be applied. However,
Asset Keeper gives you the option to apply the mid-quarter convention or choose
not to apply it should you wish to override its determination.
If your prior records are incomplete, you can calculate beginning accumulated
depreciation for all the assets in your file for one or all of the methods that
you are maintaining. This can be done without user-intervention or on-screen,
allowing you to review each calculation and override it if you wish.
Asset Keeper will automatically calculate the current annual depreciation and
next year’s depreciation when it saves your asset when it is added or edited.
However, you will need to run the Annual Depreciation Wizard to apply the
mid-quarter convention, if it applies.
The following screen shots for the Calculate Annual Depreciation Wizard
demonstrate how easy it is to calculate annual depreciation.
Screen 1 allows you to determine if one or all of your methods will be
calculated and which method will be used to determine if mid-quarter convention
applies.

Screen 2 shows the results of reviewing your current year acquisitions and
whether the mid-quarter convention should be applied. Note at the bottom of this
screen you can still override and apply the mid-quarter convention.

Screen 3 shows a summary of the options selected in the previous two screens.

The 4th and final screen shows the results of calculating depreciation.

Not only can Asset Keeper handle your calculation requirements, but it does
it with the simplicity that only a wizard can provide. And you can calculate as
often as you like; and over-ride the calculations if the need arises.
Intuitive Interface
We’re not going to pretend that maintaining fixed asset data is child’s play.
It’s not! There are a number of tax laws that have been enacted over the last 25
years that makes this process confusing and cumbersome. You may still need to
rely on a professional accountant to assist you with some entries, but the one

listed first. Furthermore, we anticipate what you are doing and provide

Unsurpassed Reports
From the very beginning, we wanted the reports in Asset Keeper to be easy to
read, flexible, and suitable for the task at hand. Our reports are conveniently
grouped so that you can find the report that will provide the information you
need and in a format that you prefer. Shown below is a screen shot of the
Reports Menu so you can see how the reports are grouped for easy identification
and selection.

As you can see, there are reports provided for specific calculations, such as
monthly reports and projected reports. There are also reports specifically for
income tax reporting, such as, forms 4562 and 4797 that are formatted in
accordance with the guidelines provided by the Internal Revenue Service.
Since most personal property reports are based on the data you enter in your
fixed asset program, we include personal property reports customized for
specific states that can save you a great deal of time and make this reporting
requirement much less complicated. There is also a generic personal property
report that can be used for many states that do not have specific formats.

You can modify your reports using our easy to navigate report
specification screens. Generally, on this screen you can change the sort order,
set a range of assets to include, print the report with asset details or not,
and change the change the print format from portrait to landscape. The screen
shot below shows the report specification screen for one of our most popular
reports, the Asset Depreciation Short Report.

In addition to two levels of sorting, there is also an include option that
allows you to select from an “often” requested list of filters. These options
make it easy to include a subset of your assets for review or analysis. The
include list has the following selections.

Asset Keeper also includes a built-in easy to use Report Writer that allows
you to quickly and easily create custom reports that can be saved and re-used
over and over.

Converting Your Existing Data
Over the years, many users wanted to start using Asset Keeper, but didn’t want
to re-enter the data that was in their existing fixed asset program. In
cooperation with our users, we’ve been able to develop conversion routines for
many fixed asset programs that makes re-entering data completely unnecessary.
Unfortunately, we haven’t been able to create conversions for all programs,
because some vendors have chosen to lock your data in so you can’t get at it.

Creating Data Files
For example, in Asset Keeper, you aren’t stuck with a minimum or constant number
of depreciation methods that you must maintain in each file, You can have just
one method in one file (such as, just book), and more than one (such as, book
and tax) in another file. Asset Keeper allows you to have up to eight methods in
any each data file that you create.
The screen shot below is from the New Client Wizard that is used to create
new data files.

In this screen shot, we are creating a file with 4 depreciation methods. The
depreciation descriptions help identify the type of depreciation we will be
calculating, and the Method Types serve the same purpose; however, Asset Keeper
uses the Method Types internally when performing certain functions. For example,
when adding new assets, the Method Types are used to determine the default
depreciation methods and lives for your assets so that you don’t have to look
them up in IRS tables or publications.
However, just because you assign a Method Type of “B” to your “Book” method,
it doesn’t preclude you from assigning a tax depreciation method to your assets.
We give you the flexibility to assign whatever depreciation method you want to
your assets, so that you can get the calculations you want and are not locked
into what might be the “normal” method to use.
Add a Depreciation Method
Asset Keeper also contains options that allow you to add a depreciation method.
For example, maybe you’ve only been maintain a tax method and now you need to
create a “book” method so you can prepare financial statements. The screen shot
below is from the Add a New Method Wizard and shows just how easy this is to do.
There are also options to delete or even re-order your methods so they will
appear in the tabs of the Add / Edit screen in a different order.
Export and Import Data
We are huge proponents of data independence. By this we mean that any data you
enter into Asset Keeper is YOUR data, not ours. Accordingly, we provide export
options that allow you to get the data out of Asset Keeper into a variety of
useable file formats. You’ll never be faced with the problem of getting access
to your data should the need arise.
We also provide for an import option that makes it possible to import data
from sources other than those that we provide conversion routines for.
Auto Assign Section 179
This option will assign Section 179 to those assets that result in the largest
overall deduction based on the methods and lives assigned to your assets.
Global Changes
This option allows you to change data entered for a number of assets without the
tedious and time-consuming process of editing each asset. The Global Changes
Wizard allows you to select a field and replace the data contained in that field
for all or selected assets. With this, instead of spending hours editing assets,
it takes only a few seconds.
Bulk Sale Wizard
This option allows you to dispose of all or selected assets instead of editing
and disposing each asset individually. You can also allocate the Selling Price
and Expense of Sale to each of the assets being disposed.
Merge and UnMerge Assets
This option allows you to merge assets from another data file or unmerge assets
in your file to a different data file. The merge option is useful if you have a
user at a different location that is maintaining assets and you need to
consolidate the data for tax or financial statement reporting purposes. The
unmerge option can be useful if you sell off a portion of your assets and need
to transfer them to another file.
We know it’s impossible to anticipate what may happen in the future, but
these are just a few of the options that make Asset Keeper adaptable to meet the
unexpected.
